This Refund Policy explains how refund requests are handled for AnswerDesk AI.
By purchasing AnswerDesk AI, you agree to this Refund Policy, the Terms of Service, the Payment Terms and Conditions, and any purchase-specific terms shown at checkout.
1. Digital Software Product
AnswerDesk AI is a digital Windows desktop software product.
After purchase, the customer receives a license to use the purchased version of the software.
Because AnswerDesk AI is a digital product with license delivery and activation, refunds are not automatic unless required by applicable law or specifically stated in writing at the time of purchase.
2. Free Trial
AnswerDesk AI may offer a free trial or evaluation period.
The free trial is intended to help users evaluate the product before purchasing.
We recommend using the free trial before buying a paid license.
3. Refund Eligibility
Refund requests may be reviewed if:
the product cannot be activated due to a licensing issue that we cannot resolve
the installer cannot run on a supported Windows system and we cannot provide a reasonable fix
the customer was charged incorrectly
a duplicate purchase was made by mistake
a legal requirement requires a refund
Refund approval is not guaranteed and is reviewed case by case.
4. Non-Refundable Situations
Refunds are generally not provided for:
change of mind after purchase
failure to review product requirements before purchase
lack of compatible third-party AI provider account
lack of API key or provider credentials
third-party AI provider costs or billing issues
third-party AI provider outages, latency, quota limits, or policy changes
user configuration errors outside supported setup guidance
unsupported operating systems or unsupported hardware
failure to use the free trial before purchase
major upgrade expectations not included in the purchased version
business workflow changes after purchase
license misuse, fraud, chargeback abuse, or violation of the Terms of Service
5. AI Provider Costs Are Not Refundable by Us
AnswerDesk AI uses a bring-your-own-key model unless specifically stated otherwise.
Third-party AI provider charges, including Azure OpenAI, OpenAI, or other provider usage costs, are not controlled by us and are not refundable by us.
Any request related to AI provider billing must be handled directly with the relevant provider.
6. How to Request a Refund

name used for purchase
purchase email
order number or transaction reference
license key, if available
date of purchase
reason for refund request
screenshots or error messages, if relevant
7. Review Process
We may ask for additional information to verify the purchase, troubleshoot the issue, or confirm refund eligibility.
We may offer troubleshooting, replacement license delivery, activation assistance, or technical support before approving a refund.
8. Refund Timing
If a refund is approved, processing time depends on the payment provider, bank, card issuer, or payment method.
We do not control payment provider processing timelines.
9. License Deactivation After Refund
If a refund is issued, the related AnswerDesk AI license may be deactivated, terminated, or blocked from future activation.
After a refund, you must stop using the software and uninstall unauthorized copies if requested.
10. Chargebacks
If you believe there is a billing or purchase issue, contact support before filing a chargeback:

Unauthorized or abusive chargebacks may result in license suspension, license termination, or denial of future purchases or support.
11. Business and Enterprise Purchases
Business, enterprise, invoice-based, purchase-order-based, or custom purchases may be governed by separate written refund terms.
If separate written terms are signed by both parties, those terms control the refund process for that purchase.
12. Changes to This Refund Policy
We may update this Refund Policy from time to time.
When we update it, we will revise the Effective Date at the top of this page.
